Production Lead – Creative Studio Operations

About the Company

Our client is a newly established VFX studio in Bulgaria, created as an offshoot of an established London-based creative production company.

The studio produces high-impact visual content for large-scale out-of-home advertising, immersive installations and real-world visual experiences. Projects are delivered through an international network of freelance compositors, VFX supervisors, 3D generalists and other creative specialists located across Europe, the United Kingdom and the United States.

The wider creative group works across VFX, immersive experiences, holographic technology, projection and large-scale 3D out-of-home productions.

The Position

The Production Lead will become the administrative and operational backbone of the studio, taking approved creative projects from initial planning through to final delivery.

This is not a hands-on VFX artist role. You will not be expected to create visual effects, work as a compositor or operate specialist 3D software.

Your responsibility will be to organize the people, schedules, budgets, files, reviews and day-to-day communication required to keep each project moving forward.

You will coordinate an international network of freelance creative professionals, monitor progress, identify problems early and ensure that work is completed according to the approved brief, timetable and quality expectations.

The position begins as an individual-contributor role, with genuine potential to develop into a broader production-management or studio-operations position as the company grows.

Key Responsibilities

  • Translate approved creative briefs into clear production plans, schedules, deadlines and task assignments.
  • Coordinate freelance compositors, VFX supervisors, 3D generalists and other external specialists.
  • Organize regular project check-ins, monitor progress and follow up on outstanding actions.
  • Maintain production calendars, project trackers, budgets and administrative records.
  • Identify scheduling conflicts, delivery risks and potential delays before they become critical.
  • Ensure freelancers receive the correct briefs, files, feedback and priorities.
  • Review work against the approved creative brief and flag inconsistencies before submission to the Founder or client.
  • Manage project files, naming conventions, version control, approvals and final-delivery logistics.
  • Provide day-to-day guidance to freelancers and escalate only genuine creative or commercial decisions.
  • Source, assess and assist with onboarding additional freelance talent when required.
  • Act as the main operational contact for subcontractors working on active projects.
  • Help establish practical production procedures, templates and internal workflows as the studio expands.

Candidate Profile

The successful candidate will be highly organized, dependable and comfortable taking ownership of multiple moving parts without constant supervision.

You should have:

  • Previous experience in production coordination, project administration, production management, line production or a comparable operational role.
  • Experience coordinating freelancers, subcontractors, vendors or external creative teams.
  • Strong administrative ability, including scheduling, documentation, follow-up and deadline management.
  • The confidence to coordinate people who may be more technically specialized or senior than you.
  • The ability to communicate feedback clearly, diplomatically and firmly.
  • Good judgment when deciding which issues can be resolved independently and which require escalation.
  • The ability to manage several priorities and projects simultaneously.
  • Strong attention to detail, particularly regarding files, versions, deadlines and approved briefs.
  • Confidence working remotely with international teams across different time zones.
  • Fluent written and spoken English.

  • Other creative or technically focused project environments

VFX Experience

Previous professional experience in VFX is not required.

You do not need to be a compositor, 3D artist or VFX supervisor, and you will not be expected to use tools such as Nuke, Cinema 4D or Houdini yourself.

However, some familiarity with VFX, animation, post-production or digital-content workflows would be beneficial. You should be interested in learning the terminology and understanding how different creative specialists contribute to a finished project.

Nuke, for example, is a professional compositing, editorial and review platform used within VFX production pipelines, but this position requires awareness of the workflow rather than hands-on technical expertise.

Particularly Valuable Experience

The following would be advantageous but is not essential:

  • Coordinating creative or technical freelance teams.
  • Managing production schedules and project budgets.
  • Working with remote international teams.
  • Reviewing creative work against an approved brief.
  • Experience with project-management or production-tracking systems.
  • Familiarity with VFX, compositing, animation or 3D-production terminology.
  • Experience helping a small company establish new procedures and workflows.
  • Exposure to out-of-home advertising, installations, projection or experiential media.

What Success Looks Like

Within the first several months, the successful candidate will have:

  • Established clear and reliable production schedules.
  • Created an organized system for project administration and file management.
  • Improved communication and accountability across the freelance network.
  • Ensured risks and delays are identified early.
  • Reduced the Founder’s involvement in routine administrative and operational matters.
  • Helped projects move from approved brief to final delivery smoothly, professionally and on time.
